How to cut no-shows with WhatsApp reminders
People rarely miss an appointment on purpose. They forget, the time stops suiting them, or they are not sure where to go. Each of those has a simple fix.
1. Remind them at the right time
A reminder the day before gives a client time to rearrange their day, or to tell you early that they can’t make it. For early-morning sessions, a short note the evening before works better than one on the day.
The trick is consistency. A reminder that goes out every time becomes part of how you work, and clients start to expect it.
In Yasenza: you choose when reminders are due. Each day, Today lists the reminders to send, already written, and one tap opens WhatsApp with the message ready.
2. Say exactly where
“Where do I park?” and “Which door is it?” are reasons people turn up late or not at all, especially if you work at more than one place. Put the venue name, the address, any directions and a map link in the reminder itself.
A reminder from Yasenza reads like this:
Hi Anika, just a reminder about your Body alignment session tomorrow at 09:30. Looking forward to seeing you! 😊

Need to change it? (a link to their booking)
3. Make moving easier than not coming
When changing a booking means an awkward conversation, some people simply don’t arrive. Give them a link where they can move or cancel the booking themselves, at any time of day.
You will hear about changes early, and the gap goes back on your booking page for someone else.
4. Have a clear, kind cancellation policy
One or two sentences are enough: how much notice you ask for, and what happens if it isn’t given. Put it on your booking page so clients see it before they book, not after they miss a session.
5. Confirm every new booking straight away
A quick “thank you for booking” message tells the client the booking worked and gives them your number in their chats, which makes the reminder later feel familiar rather than out of the blue.
6. Follow up kindly when someone misses a session
A short, warm note offering a new time keeps the relationship. An easy way back is usually welcome.
Why your own WhatsApp number helps
Clients recognise your number, see your name and can simply reply. A reminder from you reads like a message from a person, not from a system, and replies come straight back to you.
Yasenza writes the messages and keeps the list; you stay the one who sends them.
